Merge one mailbox into another
To merge two mailboxes, open the admin console and go to Manage Server › Merge Account. Enter the Source Account and Target Account, click Proceed to select items, choose the items and folders, then click Proceed to Merge. Mail is moved from the source to the target, so keep the browser open until it finishes.
How to merge one mailbox into another
Where: Admin console › Manage Server › Merge Account
- Open Manage Server › Merge Account.
- Type the Source Account email and click Search. When it says Email Address is valid!, type the Target Account and click Search.
- Click Proceed to select items.
- Choose Email with Folders or Only Inbox and Sent, then click Proceed to select folders.
- Tick the folders to merge (or use Check/Uncheck All) and click Proceed to Merge.
- Keep the page open until it shows Merging Mails from Source to Target Account Completed.
Before you start
- Both accounts must exist. XgenPlus checks each address when you click Search and shows Email Address is valid! or Invalid Email Address!.
- The target must be a different address from the source. Otherwise you see Target Email Address can't be same as Source Email Address!.
- The Target Account box is switched on only after the source is valid, and Proceed to select items only after both are valid.
Steps in detail
Choose what to merge
| Option | What it does | Default |
|---|---|---|
| Email with Folders | Merges the mail of all the source's folders. | Selected |
| Only Inbox and Sent | Merges only the Inbox and Sent folders. |
Choose folders
You see a list of the source's folders with a tick box for each and Check/Uncheck All. The page reminds you of the rules:
- The folders are merged into an existing folder of the same name, or created automatically if the target has no such folder.
- The merge cannot be paused or stopped, and you must not shut down the browser or system.
- No admin restrictions apply, such as space quota or folder list.
- Encrypted mails are not merged.
If you tick no folder you see Select at least one folder !!. If the folders you ticked have no mail you see There is no mails in selected folders !!.
Not enough space in the target
If the mail to merge needs more space than the target has free, XgenPlus shows the available and required space in MB and asks Do you want to continue.. ? If you continue, the target's allowed space is raised to the required size, rounded up, so everything fits.
While it runs
For fewer than 10,000 mails you see a progress bar with the current folder and a Merge Log that lists each folder with Total Mails and Moved Mails. At the end you see Merging Mails from Source to Target Account Completed and Transaction is completed successfully.
For 10,000 mails or more the merge runs in the background. XgenPlus shows Mail merge process has been started and You will be notified through email, once the process is finished.
Example
Meera Nair had two mailboxes at acme.in, meera@acme.in and meera.nair@acme.in, after a rename. Rohit merges meera.nair@acme.in (source) into meera@acme.in (target) with Email with Folders. The target has less free space than needed, so he accepts the prompt. All mail now sits in meera@acme.in and the old mailbox is empty.
Good to know
- Merging moves mail out of the source, so the source mailbox is left without those mails.
- The source account itself is not deleted. Remove or deactivate it separately if you no longer need it.
- Only a server administrator sees Merge Account under Manage Server.
Common questions
Is the mail copied or moved?
Moved. Each mail is added to the target mailbox and removed from the source mailbox.
Can I stop a merge once it starts?
No. The merge cannot be paused or stopped, and you must not close the browser or shut down the system while it runs.
