Caution banner when replying to outsiders

When you reply to or forward a mail that came from outside your organisation, the compose window shows a banner that starts "CAUTION: This email came from outside your organization". Read it before sharing anything sensitive. Click + to add the caution text to your reply, so others in the thread see it, or click × to dismiss it.

How to caution banner when replying to outsiders

  1. Open a mail from an outside sender and click Reply or Forward.
  2. Read the CAUTION banner at the top of the compose window.
  3. Click + to insert the caution text into your mail, or × to close the banner.

When to use it

An unknown vendor writes to Shalini in accounts asking her to confirm bank details for an invoice. When she clicks Reply, the caution banner reminds her the mail came from outside. She checks with the purchase team before answering, and adds the caution to her forward so they see it too.

Good to know

  • The banner is shown in new compose.
  • Adding the caution is optional. If you dismiss it, nothing is added to your mail.
  • When reading, outside mail is also marked with an external badge.
