Move mail from another IMAP mail server
To move mail from any IMAP server, open Settings › Import Mails in XgenPlus. Under Using IMAP, enter the old Email Address, its Password / App-Password, the IMAP Host Name and Port (993 with SSL Enabled by default) and click Start import. The import runs in the background. Yahoo and Zoho accounts can sign in with their own buttons instead.
How to move mail from another imap mail server
Where: Settings › Import Mails
- Get the old account's IMAP server name and port from its provider or IT team.
- In XgenPlus, click your profile picture, then Settings, and open Import Mails.
- Under Using IMAP, enter the Email Address and Password / App-Password of the old account.
- Enter the Host Name and Port, keep SSL Enabled on if the server supports it, and click Start import.
- Come back to Import Mails to see the progress, click Refresh, or Cancel if needed.
When to use it
Kavita's company on example.in ran its own mail server for years and is moving to XgenPlus. Before the old server is switched off, she enters its IMAP details in Import Mails, clicks Start import, and her old folders of mail are copied across in the background.
Before you move
- Get the old account's IMAP server name and port from its provider or IT team.
- Make sure IMAP access is turned on for the old account.
- If the old account uses two-step login, create an app password there and use it instead of your main password.
- Keep the old server and account running until the import has finished.
- Check that your XgenPlus mailbox has enough space for the old mail. Imported mail counts towards your storage.
- If Import Mails or Connector is missing from Settings, your administrator has hidden it. Ask them to turn it on.
Fields you need
| Field | What to enter | Default |
|---|---|---|
| Email Address | The full address of the old account. | |
| Password / App-Password | The old account's password or an app password. | |
| SSL Enabled | Keep on for a secure connection, if the old server supports it. | On |
| Host Name | The old server's IMAP address. | |
| Port | The old server's IMAP port. | 993 |
While the import runs
- The import runs in the background. The time depends on the size of the mailbox and the limits of the old server, and can be up to 2 days. You can log out and carry on working.
- The Import Mails screen shows a progress percentage and the start time. Click Refresh to update it.
- Click Cancel on that screen to stop a running import.
- Your password is stored securely while the import runs and deleted when it has finished.
Keep receiving mail sent to the old address
People may keep writing to your old address for a while. A Connector links the old account to XgenPlus and fetches its incoming mail for you.
- Click your profile picture, then Settings, and open Connector.
- On the New tab, enter the old account's Email Address, Password, Incoming Mail Server and port, and tick SSL if the server uses it.
- Keep Enabled ticked, click Verify, and when the check passes click Save.
- Open the Active tab to see the connector and its status.
Nothing you do in XgenPlus is synchronised back to the old account. To send from the old address too, fill in the outgoing (SMTP) details the same way. Use Import Mails to copy old mail once, and a Connector to keep new mail coming.
After you move
- Tell your contacts your new address.
- Set up your signature in XgenPlus.
- Export your contacts from the old system as a CSV file and import them in XgenPlus Contacts. Import Mails copies mail only.
- Once the old account is closed, delete the connector on the Active tab.
Good to know
- You can't import your own XgenPlus account into itself.
- When a whole organisation moves its domain, the administrator handles where new mail for the domain is delivered. Each person can still import their own old mail.
Common questions
Where do I find the IMAP server name?
In your old provider's help pages or mail app settings, or from your old IT team.
Can I import from Yahoo or Zoho without typing my password?
Yes. Click Yahoo or Zoho under Or import using OAuth2 Authentication and sign in on the provider's own page.
The import does not start. What should I check?
Check the address, password and server details, and that IMAP access is turned on for the old account. If the old account uses two-step login, use an app password created there.
