Delete or move every mail a search finds
To act on every search match, run an Advanced Search and tick the checkbox at the top of the results. In the dialog, choose Select all N emails of size X to include every page of results, not just the visible one. Then choose Delete, Move To or mark them read or unread, and confirm.
How to delete or move every mail a search finds
- Run an Advanced Search for the mails you want to clean up.
- Tick the checkbox at the top of the results list.
- In the dialog, choose Select all … emails to select every match across all pages.
- Choose Delete, Move To, or mark the mails as read or unread.
- Confirm the action.
When to use it
Vikram, an assistant in the IT office at acme.in, finds 12,000 automated server reports from 2022 cluttering the shared mailbox. He searches for the report sender and that year, selects all of them in one step and moves them to an Archive folder.
Good to know
- The dialog tells you how many mails are selected and their total size before you act, so you can see how much space you will free.
- Selecting all matches is not available when you search a shared folder.
- Deleted mail goes to Trash. If you delete something by mistake, recover it from Trash, or later from Archive of Deleted Emails within your domain's retention period, 7 days by default.
Common questions
Will this act on only the page I can see?
Not if you choose Select all … emails. The dialog shows the total number of matches and their combined size, and the action applies to all of them.
Why can't I delete the results?
Your administrator can switch off the Delete right for your mailbox. Moving and marking still work.
