Admin roles explained

XgenPlus admin roles are set in the User Type field of Add User or Edit User. A Domain Administrator runs the whole domain, a Billing Administrator sees reports and the Service Report, a Support Administrator manages users only, a Group Administrator manages groups only, and an Assignment User supervises an XgenAir shared inbox.

For: Domain adminWebSecurityAdmin

How to admin roles explained

Where: Admin console › Manage Domain(s) › your domain › Add User › User Type

  1. Go to Manage Domain(s) › your domain › Manage Users and open the person's mailbox, or choose Add User for a new one.
  2. In User Type, choose the role.
  3. Click the save button of the form to apply it.

The roles and what their menu shows

Role Menu in the admin console Typical person
Domain Administrator Everything for one domain: Backup & Archival, Reports (Domain Statistics, Graphical Report, Intrusion Detection) and Manage Domain(s) with users, groups, bulk tools, Policy, Alert/Notice, resources and more. The IT head or mail admin.
Billing Administrator Reports with Reports and Add-On Services, and Service Report under the domain. The pencil next to the domain name opens Edit Domain. Opens the console from Report in webmail. Someone in finance or procurement.
Support Administrator Only Manage Users under the domain. A helpdesk or IT support executive.
Group Administrator Only Manage Groups under the domain. A department coordinator.
Assignment User Not the admin console. Supervises a shared inbox from the Assignments item in webmail. The option appears in User Type only when XgenAir is on for the domain. A support or customer-care team lead.

Anyone who is not given a role keeps the plain User type.

Example

At acme.in, Meera is the Domain Administrator. She makes Rohit from the helpdesk a Support Administrator for password resets, gives Anita in accounts the Billing Administrator role, and makes the customer-care lead an Assignment User for support@acme.in.

Good to know

  • There is no separate page for creating admins. You pick the role in User Type on the person's own mailbox.
  • A Support Administrator sees only the plain User type in the list, so a Domain Administrator is the one who hands out roles.
  • Review who holds admin roles from time to time and set people back to User when they no longer need the role.
  • The role name and the last sign-in details of the person using the console show under their email at the top right.

Common questions

Is an admin also a normal mailbox?

Yes. Every admin role belongs to an ordinary mailbox, so the person keeps sending and receiving mail as usual and reaches the console from the profile menu in webmail.

Can one admin manage several domains?

A domain administrator can be given access to other domains. Use Add Other Domain Admin in the domain's settings, as described in the related page.
