# Edit default alert and notice mails

To edit the default system mails, open **Manage Server › Alerts/Notices**, select a tab such as **Alert Message** or **Welcome Message**, change **From**, **Subject** and **Message**, and click **Save**. Domains that have not set their own text use these server defaults. The mail goes to the subscriber or email account holder.

## How to edit default alert and notice mails

1. Open **Manage Server › Alerts/Notices**.
2. Select the tab for the kind of mail: **Alert Message**, **Welcome Message**, **Notice Message**, **Footer / Disclaimer Message**, **Antivirus Message**, **Migration Mail** or **Verification Message**.
3. Find the mail you want and fill **From** and **Subject**. Add **Cc** or **Bcc** if you need them.
4. Edit the **Message** in the editor.
5. Click **Save** under that mail.

Every mail on these tabs has the same form, except the footer (see below), and each one is saved on its own.

| Field | What it does | Default |
|---|---|---|
| **From** | The sender address. One valid email address, no commas. Required. | Empty |
| **Subject** | The subject line. Required. | Empty |
| **Cc** / **Bcc** | Optional copy addresses. One valid address each. | Empty |
| **Message** | The mail body, written in a rich-text editor. Required. | Empty |
| **To** | Fixed. The mail goes to the subscriber or email account holder. | |
| **Save** | Saves that mail. | |

The sender, **Cc** and **Bcc** addresses must be different from each other.

## The tabs and the mails on them

| Tab | Mails you can edit |
|---|---|
| **Alert Message** | A user's mailbox size is about to reach its limit. A user shares a folder. A user unshares a folder. A domain is about to cross its time limit. A suspicious login attempt is found because the login came from a disallowed location. An email account is about to cross its time limit. A user's service is about to expire. A reminder that a user's service is about to expire. A user's service has expired and been blocked. |
| **Welcome Message** | **Welcome Message I** and **Welcome Message II**. |
| **Notice Message** | A mailbox size quota exceeds 100%. A domain has expired. An email account has expired. |
| **Footer / Disclaimer Message** | A single editor for the footer or disclaimer text, with no **From** or **Subject**. Under it, **Do you want to add footer with your mail** with **Yes** or **No** (**Yes** is selected first), and **Save**. |
| **Antivirus Message** | The antivirus mail. On this form the original subject is added after your **Subject**. |
| **Migration Mail** | Migration start, migration end, migration exception, migration cancel and migration space quota exceed. |
| **Verification Message** | Verification mail for 2-step authentication, for a change in email account settings, for verifying an alternate email address and for verifying admin login. |

## Example

> Rohit sets the server's default **Welcome Message I** so every new acme.in mailbox gets a friendly first mail. He writes "Welcome to Acme mail" as **Subject**, uses noreply@acme.in as **From**, writes the text and clicks **Save**.

## Good to know

- When a domain administrator opens the same mail for their domain, it is marked as the default message set by the server administrator until they save their own text.
- On the mails with a form, **From**, **Subject** and **Message** are required. XgenPlus will not save them empty.
- Some mails depend on a feature being on for the domain. Editing the text does not turn the feature on.

## Common questions

**Do these texts apply to every domain?**

They are the defaults. A domain administrator can save their own text for their domain, and that text is used for that domain instead.

**Do I save the whole tab at once?**

No. Each mail has its own **Save** button. Save every mail you change.
