# Set a user's services and limits

To set a user's services and limits, open the user from Manage Users, go to the Option tab, change the services, limits, storage or default values, and click View / Save Changes. Check the list of previous and current values, then click Save. A limit of 0 means unlimited.

## How to set a user's services and limits

1. Open **Manage Users** under your domain and click the user's login name.
2. Open the **Option** tab.
3. Change the services, limits, storage or default values you need.
4. Click **View / Save Changes**.
5. Check the **Previous Value** and **Current Value** list, then click **Save**.

The **Option** tab holds everything the administrator controls about one mailbox, apart from name and password. The tab is not shown to support administrators.

## Services for user

Each switch is **Start / Stop**. A switch is greyed out when the service is not available for your domain.

| Service | What it does |
|---|---|
| **SMTP-IN** | Lets the user receive mail. |
| **SMTP-OUT** | Lets the user send mail. |
| **POP** and **IMAP** | Let the user connect a mail app with POP or IMAP. |
| **HTTP** | Lets the user sign in on the web. |
| **CHAT** | Turns on chat for the user. |
| **ANTI-VIRUS** | Scans the user's mail for viruses. |
| **OFFICE** | Turns on the Office apps for the user. |
| **VIDEOMEET** | Turns on video meetings for the user. |

## Set limits for user

Type 0 for unlimited. Next to each box you see how much the user has used and the limit, for example (12 / 50).

| Limit | What it does |
|---|---|
| **Number of personal folders** | How many folders the user can create. It cannot be set below the folders the user already has. |
| **No. of Incoming Mails per Day** | Mails the user can receive in a day. |
| **No. of Outgoing Mails per Day** | Mails the user can send in a day. |
| **Rules to be Allowed** | How many mail rules the user can create. |
| **Total data MB per Day** | Total size of mail the user can handle in a day. |
| **No. of Contacts in Address-book** | Contacts the user can store. It cannot be set below the contacts already stored. |
| **Max Attachment Size** | Largest attachment the user can send. If your domain has a limit, the user's value cannot be 0 or above it. |
| **Max Outgoing-Mail Recipient(s)** | Most recipients in one mail. It must be more than 0 and cannot be above the domain's value. |

If the user is set to unlimited space, these numbers are shown for reading only.

## Storage limit for user

| Field | What it does |
|---|---|
| **Allowed Space** | The mailbox size, with a unit of MB, GB or TB. It must be at least 1, cannot be below the space already used, and an increase must fit in the space left in your domain. The space used so far is shown beside it. |
| **Secure Quota** | Dedicated space in MB for the user's secure folder. If you give dedicated space, the secure folder does not use the mailbox quota, and the user is limited to that space. The remaining space is shown. |

## Default value for user

| Option | What it does |
|---|---|
| **NULL account (Do not store any message)** | The mailbox accepts mail but keeps nothing. |
| **Show Admin Address Book** | Shows the admin address book to the user. |
| **Show Global Address Book** | Shows the address book of the whole domain. When on, you can pick other domains whose addresses should also be shown. |
| **Allow Advance Forwarding** | Lets the user forward mail with advance forwarding rules. |
| **Allow OTP Authentication** | Lets the user sign in with a one-time code. It is available only when your domain has this set up, otherwise it is greyed out. |
| **Allow sending mails only to Global and Admin Address Book or give another domain names separate by comma (,)** | Limits who the user can send to: only the global and admin address books, plus any domains you list. Each domain must be valid. If the user already has forwarding rules to outside addresses, a prompt tells you those rules will be deleted. |
| **Enable automatic signature (set by domain administrator)** | Adds the signature you set for the domain to the user's mail. |
| **Data Loss Prevention (DLP)** | Applies data loss prevention to the user. It is available only when DLP is on for your domain. |
| **Sync mail from archive (POP/IMAP)** | When the user's mail app syncs by IMAP, archived mail is synced as well. |
| **Allowed Host IP range** | Click **Add IP Range**, enter a **Start** and **End** IP address and click **Add**. The user can then sign in only from the listed ranges. You can add up to 10 ranges. Use **Remove** to delete one. A range must fall inside your domain's host IP range if the domain has one. Ranges are saved at once, without **View / Save Changes**. |
| **Receive BCC of All Incoming mail to E-mail address** | Sends a copy of every mail the user receives to these addresses (up to 5, separated by commas). Each address must be on a domain that exists on the server. **Save Copy** set to **Yes** keeps the mail in the user's mailbox as well. |
| **Send BCC of all outgoing mail to E-mail address** | Sends a copy of every mail the user sends to these addresses (up to 5, separated by commas). |
| **Incoming / Outgoing Mails Bcc Applicable** | **Yes** or **No**: whether the two BCC copies above apply. They keep a copy of the user's incoming or outgoing mail for legal and compliance purposes. |
| **Disallowed attachment file type** | File types the user cannot send, separated by commas, for example `JPG,PNG`. Do not type a dot. |
| **Id to get the Email if user try's to send restricted attachment** | An address that receives a notice when the user tries to send a blocked attachment type. |

## Mobile service

| Option | What it does |
|---|---|
| **Enable Contact Sync** | Lets the user sync contacts with the mobile app. |
| **Enable Calendar Sync** | Lets the user sync the calendar with the mobile app. |
| **Enable Call Recording** | Turns on call recording in the mobile app. |
| **Enable Lead** | Turns on the lead feature in the mobile app. The user's app is told when you change it. |

## Expiration

| Option | What it does |
|---|---|
| **Expires on** | The date the account stops working. On most domains it is shown for reading only. When it can be changed, it cannot be in the past or after your domain's expiry date. |
| **Deactivate if inactive for (Days)** | Switch on and enter a number of days. The account is deactivated if the user does not sign in for that long. |

## Example

> Rohit at acme.in looks after a shared accounts mailbox for Meera's team. He opens the user's **Option** tab, switches off **POP** and **IMAP** so mail is read only on the web, sets **Max Attachment Size** to a smaller value, adds `exe, zip` to **Disallowed attachment file type**, adds the office range under **Allowed Host IP range**, and clicks **View / Save Changes**.

## Good to know

- **View / Save Changes** shows each changed value as **Previous Value** and **Current Value**. Nothing is saved until you click **Save**. **Reset** reloads the saved values.
- Domain limits cap what you can give a user. Change the domain's own limits in the domain's quotas and services settings.
- Only a server administrator can mark a user as unlimited.

## Common questions

**Why is a service switch greyed out?**

The service is not available for your domain. Ask your server administrator to enable it for the domain first, then it can be switched on for users.

**Why does the page refuse my limit?**

The value is checked against the domain's limits and against what the user already uses. A message tells you which number is too high or too low.

**What does 0 mean?**

For most limits, 0 means unlimited. Max Attachment Size and Max Outgoing-Mail Recipient(s) are stricter: if the domain has a limit, the user cannot be set to 0.
