# Find and manage users

To find a user, open Admin console › Manage Domain(s) › your domain › Manage Users, type a login name, employee code or mobile number and click Search or Exact. Quick buttons list administrators, expired or deactivated accounts. Click a login name to edit that user. The list stays empty until you search.

## How to find and manage users

1. Open **Manage Users**.
2. Type a login name, employee code, mobile number or other text in the search box.
3. Click **Search** for a partial match, **Exact** for one precise match, or **Alias**, **Archive** or **Attribute** for those lookups.
4. Or click a quick button such as **Expired** or **Deactive**.
5. Click a login name to open that user for editing.

## Search and quick buttons

| Button | What it does |
|---|---|
| **Exact** | Finds a user whose login name or employee code is exactly what you typed. A number of 10 or more digits is treated as a mobile number. Pressing Enter in the box also runs **Exact**. |
| **Search** | Finds users whose login name starts with what you typed, or whose employee code matches. A mobile number or a full email address also works. |
| **Archive** | Looks among deleted users whose address starts with your text. Each result has a **Restore User** link. |
| **Alias** | Finds users who have an email alias starting with your text. |
| **Attribute** | Finds users whose extra user field, defined for your domain, equals your text. |
| **Administrator** | Lists domain and server administrators. |
| **Null Account** | Lists accounts set up as null accounts. |
| **Expired** | Lists accounts whose expiry date has passed. |
| **Deactive** | Lists accounts with **Activate account** switched off. |
| **Unlimited** | Lists mailboxes with no space limit. |
| **Age Analysis** | Opens a month-by-month table of when users were activated and when they expire. |

The search box takes up to 30 characters.

## The user table

| Column | Shows |
|---|---|
| **Name** | The login name. Administrators are shown in red and deactivated users in brown. Click it to edit the user. |
| **E-mail** | The full address. |
| **Activation Date** / **Expiry Date** | When the account started and when it ends. |
| **Last Login Date** | The user's last sign-in. |
| **Space Used/Allowed(MB)** | Click **Calculate** to see space used against space allowed. After an **Alias** search this column shows the aliases, and after an **Archive** search it shows **Restore User**. |

## See how old your mailboxes are

Click **Age Analysis**. The table is headed **Age Analysis for** your domain, **as on** today's date, and lists the twelve months with **No. of Users Activated** and **No. of Users Expired / To Be Expired**. Click a number to open Manage Users with those users listed.

## Search from the top bar

The search box at the top of every page, with the hint **User / Email / Mobile No.**, also finds users. Type a login name, an email address or a mobile number and press Enter. Manage Users opens with the result.

## For Support Administrators

Manage Users is the only user page a Support Administrator sees. You can search the same way and open ordinary users. Opening a server, domain, billing, support or group administrator shows a message that you are not allowed to view their details.

## Example

> At year end, Meera, the IT admin at acme.in, clicks **Expired** and sees the contractor accounts that ended in March. She then opens **Age Analysis** and clicks the March figure to review exactly who is due to expire.

## Good to know

- Domain administrators see their own domain only. Server administrators open a domain first.
- To remove users, use Delete Users. Manage Users only finds and opens them.
- Users you deleted can be found with **Archive** and brought back.

## Common questions

**Why is the list empty when I open Manage Users?**

The list fills only after you search. Type something and click **Search**, or click a quick button such as **Administrator**.

**How do I find who owns an alias address?**

Type the alias, or its first letters, and click **Alias**. The last column then lists the aliases of each matching mailbox.

**How do I list the users whose accounts end in a particular month?**

Click **Age Analysis**, then click the number in the **No. of Users Expired / To Be Expired** column for that month. Manage Users opens with those users listed.
