# Edit a user

To edit a user, open Admin console › Manage Domain(s) › your domain › Manage Users, search for the user and click the login name. Change the fields on the User tab and click View / Save Changes, then Save. The same tab adds email aliases, wipes a lost phone and resets the user's password.

## How to edit a user

1. Open **Manage Users** and search for the user.
2. Click the user's login name. The **User** tab opens with the saved details.
3. Change the fields you need.
4. Click **View / Save Changes**.
5. Check the list of old and new values in the **Confirm** window and click **Save**.

## What you can change

The **User** tab has the same fields as Add User, with these differences.

| Field | In edit mode |
|---|---|
| **User Type** | You can change the role, for example to **Domain Administrator**. Support administrators can only choose **User**. |
| **Domain Name**, **Login Name**, **OutgoingMail ID** | Read-only. |
| **Password** | Shows masked characters. Leave them alone to keep the current password, or type a new password. |
| **Secure Password** | The password of the user's secure folder. Leave it as it is to keep it. |
| **Email Alias** | Click **Add / Delete Alias**. See below. |
| **Allowed Space** | Not shown here. Mailbox size is changed on the **Option** tab. |
| **Activate account** | Untick to block sign-in without deleting the mailbox. |
| **Forward** / **Delete** / **Reply** | Untick to remove the right. A window warns that the restriction applies on the web and that POP/IMAP is turned off for the user. Click **Apply Settings** to confirm or **Cancel** to keep the right. |
| **Delete Key Pair** | Tick to delete the user's existing PGP key pair. |
| **Rights Permission** | Allows or disallows the user to set rights on a mail (delete, reply, forward, print). |
| **Force Password Change** | The user must choose a new password at the next sign-in. |

Every other field is the same as in Add User: names, **Alternate Mail ID**, **Mobile No**, **Enable multiple email**, **Allow Hide Attachment**, **User Info**, **Employee Code**, **Disable Settings** with its sections, and the Work and Home details.

## Save your changes

Click **View / Save Changes**. A **Confirm** window lists each changed item with its **Previous Value** and **Current Value**. Click **Save** to apply them or **Close** to go back. If nothing changed, the page simply saves. **Reset** reloads the saved values and drops what you typed.

## The other tabs

The tab strip across the top of the editor has more tabs for the same user: **Option**, **Settings**, **Logs**, **Copy**, the tab named after the user (**User : address**), **Device Access**, **Mail Backup and Restore** and **Archived Emails**. A Support Administrator sees only **User**, the tab named after the user and **Archived Emails**. **Mail Backup and Restore** is for domain and server administrators.

## Add or remove an email alias

1. Click **Add / Delete Alias**.
2. Type the full alias address, for example `sales@acme.in`, and click **Add**.
3. To remove an alias, click the delete icon on its row in the table.

Mail sent to an alias arrives in this user's mailbox. The alias domain must be a domain that exists on your XgenPlus server, and each alias counts towards your domain's user limit.
## Wipe a lost phone

In the **Wipe Device data (Email)** box, click **Enable**. XgenPlus marks the user's synced mobile devices for a wipe and also resets the user's password to a random one, so the lost device cannot sign in. You see "Wipe setting enabled and password reset". When the user has a new device, click **Disable** and then type a new password for the user and save. There is no confirmation window, so click carefully.

## Example

> Rohit at acme.in loses his phone. Meera opens his account in Manage Users, clicks **Enable** under **Wipe Device data (Email)**, then adds `sales@acme.in` as an alias so customer mail keeps reaching him. The next morning she clicks **Disable**, types a new password and saves.

## Good to know

- Only the **User** tab works in Add mode. Save the user first, then open them from Manage Users to use the other tabs.
- Server administrators must open the user's domain first. Domain administrators edit users of their own domain.
- A Support Administrator cannot edit other administrators and cannot see **Option**, **Settings**, **Logs**, **Copy** or **Device Access**.

## Common questions

**Can I change a user's login name?**

No. **Login Name** is read-only once the mailbox exists. Add the new address as an email alias on the user, or create a new user.

**How do I stop a user from signing in without deleting them?**

Open the user, untick **Activate account** and save. Tick it again to restore access.

**How do I reset a user's password?**

Type the new password over the masked characters in **Password** and save. Tick **Force Password Change** if the user should choose their own at the next sign-in.

**Why can I not open an administrator as a Support Administrator?**

Support administrators can only open and edit ordinary users. Opening a domain, billing, support or group administrator shows a message that you are not allowed to view their details.
